This includes, but is not limited to: storing your Contact Data and Event Data; booking forms; deposit reminders; final payment reminders; music request form reminders; email conversations; logs of phone calls; notes from conversations; feedback;
  • Dropbox File Hosting Service – We use this to run a cloud network for our office laptops and for storing digital copies of the documents relating to your booking (your invoice, contract and music requests).
  • Laptop Computers – We use these to email you about your booking and we use them to access company software that: adds your event to our master diary, creates your invoice and contract, books the musicians and books the equipment for your event.
  • Mobile Phones – We use these to call and text you about your booking.
  • Printed Filing System – We create a paper file for your booking with a step by step planning process and this is used by our office team to fulfil our obligations under the contract.

External Third Parties

PianoDJ acts as an agency for a team of freelance musicians and crew members.

Your booking contract individually lists the freelance musicians that you have booked to provide services at your event and a small amount of your personal data will be passed onto these musicians so that we can fulfil our obligations under the contract

We will email the freelance musicians the following information:

  • Contact Data: your name and the names of any other key contacts linked with the booking
  • Event Data

We also have a small number of companies providing services to us.

  • We use EE to provide us with telephone and broadband services and they could get to see your phone number if we call you.
  • We use Smart Hosting (Krystal Hosting Ltd) to provide email services and they could get to see your email address (but not the content of what you send, if you encrypt it).
  • We use Mansell & Co to provide accountancy services and they could get to see your name and invoice information during the preparation of our quarterly VAT returns and our yearly company accounts.
  • We use Google Drive for cloud based documentation and storage. There is a chance that there could be occasional instances of your name and email address on internally shared documents.
  • We use Monday.com for cloud based task management. There is a chance that there could be occasional instances of your name and email address on internally shared documents.
  • We use professional advisers including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal and insurance services.
  • We are required to submit information to HM Revenue & Customs, regulators and other authorities who require reporting of activities in certain circumstances.

As a general rule, we will not transfer your personal data to any other third parties without your permission.

There are 2 exceptions to this:

  • If you do not pay your bills, we may choose to engage a third party to recover any money you owe us. We’ve never done this, but we want to keep this option open to us.
  • It is possible, though unlikely, that we might be forced to disclose your information in response to a court order or other binding mandate.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law.

We do not allow our third party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

By law we have to keep your basic information (including Contact Data and Documents) for 6 years after you cease being a client for tax purposes.

When you make an enquiry with PianoDJ Ltd about booking our services for your event we need to process your personal data in order to respond to your enquiry.

Types of enquiry can include, but is not limited to: requesting a quote for a service; checking availability for a service; requesting further information about a service

  • If you have not provided us with a date for your event then we will retain you personal data for no longer than 18 months from your last communication with us. The majority of our enquiries are for weddings and the buying cycle for this is usually between 6 – 24 months.

You have the right to ask us to delete or remove your personal data where there is no good reason for us to continue processing it (see the Your Legal Rights section below for more information).

 

3) I have requested a resource

When you download a resource from our website we need to process your personal data in order to send you a copy of the resource.

Information can include, but is not limited to: exclusive offers, discounted prices list, updates and information about new or existing services, real wedding insights (testimonials, videos, photos) and recordings/videos of PianoDJ Ltd musicians (piano recordings, DJ mix videos, etc)
